FindVil's Talent Directory provides recruiting professionals with powerful AI-driven tools to discover, evaluate, and engage qualified candidates efficiently. This guide explains how recruiters can leverage the platform to streamline talent sourcing and build robust candidate pipelines.
Accessing the Talent Directory
The Talent Directory is accessible from the sidebar navigation on FindVil. Click "Talent Directory" to enter the recruiter-focused area of the platform where you can search for candidates, view profiles, and manage your talent pipeline.
Understanding the Talent Pool
The Talent Directory contains professionals who have created public profiles on FindVil. These are active job seekers who have invested time building comprehensive professional showcases, signaling genuine interest in career opportunities.
Each profile includes extensive information beyond traditional resumes including professional summaries describing career goals and interests, complete work histories with detailed accomplishments, comprehensive skill listings, education and certifications, portfolio items and media proofs (project samples, certificates, awards), and customized professional presentations reflecting personal branding.
This depth of information helps you evaluate cultural fit, communication skills, and professional presentation alongside technical qualifications.
AI-Powered Candidate Search
FindVil's most powerful recruiting feature is AI-assisted search through job description upload.
Upload a Job Description
Rather than manually configuring search filters, upload a complete job description for the position you're filling. Click the "Upload Job Description" button in the Talent Directory, paste your job description text or upload a document, and let FindVil's AI analyze it.
Automatic Filter Generation
Within approximately 10 seconds, FindVil's AI will extract and set search filters based on the job description including required and preferred skills, experience level expectations, industry and role requirements, location parameters, and other relevant qualifications mentioned in the description.
The AI understands context and prioritizes the most important requirements, translating job description language into effective search parameters automatically.
Review and Refine
After the AI generates filters, review them to ensure they capture your requirements accurately. You can adjust any filters manually—adding or removing skills, changing experience levels, modifying location parameters, or refining industry focus.
This AI-assisted approach dramatically reduces the time required to configure effective candidate searches while ensuring you don't miss important requirements buried in job descriptions.
Manual Search Configuration
You can also build searches manually using FindVil's comprehensive filter options.
Available Search Filters
Configure searches using multiple parameters including skills and technologies (search for specific technical skills, tools, or methodologies), job titles and roles (find candidates with experience in target positions), industries and sectors (filter by relevant professional backgrounds), experience levels (entry-level, mid-level, senior, executive), education requirements (degrees, institutions, fields of study), locations (specific geographies or remote work preferences), and keywords (search profile content for specific terms or qualifications).
Combine multiple filters to narrow results to precisely the candidate profiles you need. The more specific your filters, the more targeted your results—but overly narrow filters might exclude viable candidates, so balance precision with appropriate flexibility.
Saving Search Queries
Once you've configured effective search parameters—whether through AI generation from job descriptions or manual configuration—save the search query for future reuse.
Creating Saved Searches
After running a search, click the "Save Search" button, name your search descriptively (e.g., "Senior Full-Stack Engineer - Remote," "Marketing Manager - Chicago," "Data Scientist - Healthcare"), and save it to your library.
Reusing Saved Searches
Saved searches are accessible from your Talent Directory interface. When you have a new similar position to fill, simply load the saved search rather than reconfiguring all parameters from scratch. You can also edit saved searches to make variations—perhaps adjusting experience level or location while keeping other parameters the same.
This search library becomes increasingly valuable as you fill similar roles repeatedly, dramatically reducing time spent on candidate sourcing for recurring position types.
Evaluating Candidate Profiles
When search results appear, you'll see a list of candidates matching your criteria. Click any profile to view complete details.
Profile Components
Candidate profiles provide comprehensive information including professional summaries explaining career goals and what they're seeking, detailed work experience with accomplishments and responsibilities, complete skill listings organized by category, education and certifications, portfolio items and media proofs demonstrating their work, and customized presentations reflecting their professional brand and communication style.
Evaluate candidates holistically—technical qualifications, cultural fit indicators, communication abilities evident in how they present themselves, career trajectory and progression, and evidence of accomplishments through portfolio items or specific achievements described.
Saving Candidates
When you identify promising candidates, save them to your talent pipeline for tracking and follow-up.
The Save Function
Each candidate profile includes a "Save" button. Clicking this adds the candidate to your Saved Talent collection. You can save unlimited candidates, building comprehensive pipelines for different positions or future opportunities.
Adding Notes and Tags
When saving a candidate, add notes about why they're promising, concerns to address during screening, or any relevant observations. Add tags for organization—perhaps tagging by position ("Senior Engineer," "Manager Role"), by status ("Top Priority," "Review Later"), or by specific qualifications ("Strong Python," "Healthcare Experience").
These notes and tags help you remember context when you return to review candidates later and allow you to filter your saved talent collection effectively.
Setting Candidate Status
Track where each candidate is in your hiring process using status designations including Interested (identified as potentially relevant), Contacted (reached out with initial message), Assessment Sent (provided technical assessment or assignment), Interviewing (actively in interview process), On Hold (good candidate but timing isn't right currently), Offered (extended job offer), and Hired (accepted offer and joining).
Update status as candidates progress through your pipeline. This tracking ensures you don't lose track of candidates in various stages and helps you maintain professional follow-up throughout the hiring process.
Updating Status from Profile Pages
You can change a candidate's status directly from their profile page without returning to your saved talent collection. This convenience allows quick updates as situations change—perhaps moving someone from "Contacted" to "Interviewing" immediately after scheduling their interview.
Viewing Your Saved Talent
The "Saved Talent" toggle provides a filtered view showing only candidates you've saved. This is your active pipeline—the candidates you're working with for current or upcoming positions.
Organizing Your Pipeline
Within your Saved Talent view, you can filter by status (show only candidates currently interviewing, view everyone on hold for future positions), filter by tags (see all candidates tagged with specific skills or attributes), search by name or keywords within notes, or sort by various parameters (date saved, alphabetically, etc.).
This organizational capability helps you manage large pipelines efficiently, ensuring no promising candidate falls through the cracks.
Contacting Candidates
When you identify candidates you want to engage, use FindVil's direct messaging feature.
Send Message Function
Each public profile includes a "Send Message" link. Click this to compose a message to the candidate. Messages are delivered to the email address associated with the candidate's FindVil account, ensuring they receive your communication even if they're not actively checking the platform.
Effective Outreach
When contacting candidates: Personalize your message referencing specific aspects of their profile that caught your attention. Clearly describe the opportunity you're presenting. Explain why you think they might be a good fit. Provide clear next steps for expressing interest or learning more. Include your contact information and company details for credibility.
Professional, personalized outreach significantly increases response rates compared to generic templated messages.
Exporting Search Results
FindVil provides recruiters with the ability to export search results for offline review, integration with applicant tracking systems (ATS), or pipeline management in external tools. This feature is available to recruiters with verified credentials who contact support to request export privileges.
Requesting Export Access
Export functionality is not enabled by default—it's a privileged feature reserved for professional recruiters who will use data responsibly. To request access, contact FindVil support at support@findvil.com with "Recruiter Export Access Request" in the subject line. Include information about your company or recruiting organization, your role and recruiting responsibilities, and how you intend to use exported candidate data.
FindVil reviews all export access requests to ensure data will be used appropriately and professionally. Once approved, export capabilities will be activated on your account, typically within 1-2 business days.
Using the Export Feature
After export access is enabled, you'll see a download menu when viewing search results in the Talent Directory. This menu appears glued to the right-hand side of your screen, positioned halfway between the top and bottom of the page.
Accessing Export Options: Hover your cursor over the download menu icon. Two export format options will appear: CSV (Comma-Separated Values) and JSON (JavaScript Object Notation).
Selecting Your Format: Click the format you want to export. CSV format works well for spreadsheet applications like Excel or Google Sheets and is ideal for human review and simple data manipulation. JSON format is better for technical integrations, ATS imports, or programmatic data processing.
Data Responsibility Acknowledgment: After selecting a format, a modal window will appear requiring you to acknowledge that you understand and agree to use the exported data solely for recruitment purposes, maintain confidentiality of all candidate information, not share or distribute candidate data with unauthorized parties, delete exported data when it's no longer needed for active recruitment, and comply with all applicable privacy laws and regulations including GDPR, CCPA, and other data protection requirements.
Read this acknowledgment carefully and check the box confirming your agreement. Click "Download" to proceed with the export.
What Data is Exported
Exported files contain comprehensive candidate information from your search results including candidate names and contact information, professional summaries and career objectives, complete work experience with companies, titles, and dates, education and certifications, skills and competencies, links to public profile pages for full details, and timestamps indicating when profiles were created or last updated.
The export includes all candidates currently visible in your search results based on active filters. If you've filtered to show only specific experience levels or tagged candidates, the export will reflect those filters.
Data Security and Compliance
Exported candidate data contains personal information subject to privacy laws and regulations. You are legally and ethically responsible for protecting this data. Follow these essential security practices:
Secure Storage: Store exported files on secure, encrypted devices or systems. Never save candidate data to unsecured cloud storage, personal email accounts, or shared drives accessible to unauthorized personnel.
Access Controls: Limit access to exported data to only those individuals directly involved in the recruiting process for relevant positions. Use password protection on files when appropriate.
Data Retention: Delete or securely destroy exported data when it's no longer needed for active recruitment. Don't maintain permanent candidate databases unless you have explicit consent and legal basis for long-term retention.
No Unauthorized Sharing: Never sell, share, or distribute candidate data to third parties including other recruiters or companies, marketing organizations, or data brokers. Data may only be shared with hiring managers and interview teams within your organization who have legitimate need for candidate evaluation.
Respect Candidate Privacy: Use data only for the recruitment purposes candidates expect when they create public profiles—matching them with relevant job opportunities. Any other use violates both FindVil's terms of service and candidate trust.
Compliance Obligations: Depending on candidate locations and your jurisdiction, various privacy laws may apply. Familiarize yourself with relevant regulations. For candidates in the European Economic Area, GDPR grants rights to access, correction, deletion, and data portability. For California residents, CCPA provides similar rights. Ensure your data handling practices comply with all applicable laws.
Export Privilege Revocation
FindVil takes data protection seriously. Export privileges may be revoked if we identify misuse of candidate data, receive complaints about inappropriate data handling, detect sharing of data with unauthorized parties, or observe violations of the data responsibility acknowledgment. If your export access is revoked, you will lose the ability to download search results but will retain access to other Talent Directory features. Serious violations may result in account termination.
Alternative to Bulk Export
If you don't need bulk exports, you can review candidates directly within the Talent Directory and save promising candidates to your pipeline using the save function. This approach avoids downloading personal data while still allowing comprehensive candidate evaluation and pipeline management through FindVil's interface.
Many recruiters find that using the Saved Talent feature with comprehensive notes and status tracking provides all the pipeline management they need without requiring external exports.
Best Practices for Recruiting on FindVil
To maximize your effectiveness using the Talent Directory, follow these proven practices.
Build Comprehensive Search Queries
Invest time in creating well-configured searches—either through thoughtful job description uploads or careful manual filter selection. Good searches save enormous time by surfacing relevant candidates consistently.
Maintain Your Talent Pipeline
Don't just save candidates when you have immediate openings—build pipelines proactively for roles you fill regularly. When a position opens, you already have qualified candidates to contact rather than starting sourcing from scratch.
Use Status Tracking Religiously
Update candidate status consistently as they progress through your process. This discipline prevents confusion, ensures professional communication, and allows accurate pipeline reporting.
Add Meaningful Notes
When saving candidates, write specific notes about their strengths, concerns, or why they're relevant. Generic notes like "looks good" aren't helpful when you return weeks later. Specific notes like "Strong Python and Django, 5 years healthcare experience, transitioning from data engineering to ML" provide context for effective follow-up.
Review Profiles Thoroughly
Don't just keyword-match—read candidate profiles completely. The professional summary, work descriptions, and portfolio items provide insights about communication skills, career motivations, and cultural fit that simple filter matching can't capture.
Respond to Candidate Inquiries Promptly
If candidates contact you (perhaps because they saw your company profile or you contacted them previously), respond quickly. Talented candidates often have multiple opportunities—your response speed can differentiate your opportunity from competitors.
Respect Candidate Privacy and Professionalism
Treat all candidate information confidentially. Don't share profiles externally without permission. Maintain professional communication throughout. Provide closure to candidates you decide not to pursue rather than leaving them wondering.
